Project Scope

State of South Carolina: Clemson University required a Technical Writing Support expertise to interact effectively with internal and external vendors, project team members, and management and agency departments, to build relationships and use facilitation skills with both technical and non-technical personnel for providing quality development of structured written materials and visual aids for EEMMS.

The Eligibility & Enrollment Member Management System (EEMMS) is a large IT project for the State of South Carolina to replace the State’s current eligibility system, and related applications with a modern, service-oriented architecture based system.


Solution

The objective of the project was to provide continuous Technical Writing Support for organizing information in a way that is appropriate for technical explanations without losing sight of the needs and aptitude of the audience, evaluating information from multiple sources, reconcile conflicts, decompose high–level information into details, and composing structured processes from existing written documentation.

With a methodical approach, the project was broken down into several components to ease the process of offering quality writing services. In the beginning, V Group Inc. helped in the development and maintenance of a detailed project plan with milestones and deliverables. 

V Group successfully supported the department in this task by capturing all the parameters. Primarily, we helped in writing and editing documentation such as application-specific artifacts, functional design specifications, process flows, and knowledge base content. We also created standard templates for future use by the project team, created and maintained Visio diagrams describing processes with the various teams. Independently performed research and conducted interviews with key SMEs.

Going with the flow, we also facilitated the client by taking ownership of documentation projects from initial stages till the end, meeting deadlines.

With a proactive approach, we participated in weekly status meetings and revised documents and templates, as per the need. Worked with compliance officers to expeditiously respond to mandatory security and system documentation, as and when it was needed. We also coordinated with Business Analysts/SMEs and technical staff to understand the goals/objectives of the project in order to assist in creating deliverables and supporting project documentation.

We also helped the client by providing recommendations on deliverables as a result of analysis/design discussions. Simultaneously, we worked with technical staff to produce documentation deliverables that were easy for readers to comprehend. We also organized and wrote supporting documentation to go with the visuals and technical terms. With proper selection of graphics, drawings, diagrams, and charts, we delivered specific writing deliverables that augmented users’ understanding of the content. We also aided in organizing and maintaining the project’s SharePoint and Confluence document repositories.

Served as a liaison between Agency and solution’s contract and helped the client in providing quality writing through tenacious research and collaboration and communication aligned with their business’ requirements reducing support overhead.
