Security Management System

Overview

The client wanted to automate checking for new security keys and adding them to their Central Registration Depository (CRD) system.

They wanted to switch to automated processes to increase the organisation's output and efficiency. Also, while doing that, they wanted to add layers of security that can be hampered by human interaction.

Problem Statement and Challenges

On the client side, it generally requires someone to manually oversee the security management process. This wastes a lot of time, as it's not contributing to the growth of the organisation, instead was just a record-keeping task. The client wanted to switch to a digital workforce RPA bot that can efficiently handle the task

Solution

We analysed the problem statement, and began setting up the digital workforce RPA bot for the process.

To start with the process, security keys would be sent through an email tagged in a certain format. And the RPA bot that we set up using Blue Prism, which is one of the most secured and respected RPA solution platforms, would read, analyse and comprehend the emails.

If the email contains the necessary attachments with the Security Keys then it would proceed to the next step.

Otherwise, if it finds the attachment missing, or identifies incorrect values inside the document, it'll generate an error and notify the sender to take action and remediate.

In a situation, where errors are not generated, the RPA bot would log-into the CRD system and check for the specific entry as identified after analysing the attachment.

If the security key is present for all the values, it would generate a return code 'Already Existing' and in the case it's not there, it would go ahead and set up a new key and generate a code saying 'Setup Today'.

Once the whole process is completed, a report with all the details would be forwarded to the concerned users and the sender.

Results and Success Criteria

We delivered the project in record time, and the client was delighted. Moreover, the client saved resources such as time, money, and workforce engagement, which was earlier wasted on manual tasks. Overall, the implementation helped the client to become more efficient in their operations.
