CAPEX Process Operations and Validation

Overview

The client wanted a system that could automate the SAP Business operations for various lines of their business (LOB), such as retail, manufacturing, finance, and more. Moreover, they also wanted a validation process and report extraction to be automated.

Once the processing is completed, the automation must attach the CAPEX Master File in SharePoint and generate an email notification. The automation logic needs to work for 32 countries where the client business is present while maintaining security.

Problem Statement and Challenges

The client wanted to enhance their business operations, which they run across multiple countries. This is why they implemented SAP Business Solutions across all their business entities. But on the contrary, the data processing and validation became a mundane task, hindering the actual operational capabilities, which is why the client wanted to switch to automated processes.


Solution

After analysing the limitation of the SAP implementation, we started building automation that can tackle it all. Starting with the extraction process from excel and PDF files is a tough nut to crack in SAP implementation; we set up a VBA code that can automate that.

Moving on, we created a logic file capable of individually handling records for each line of business for each country. This helped with data integrity, as we've isolated the process for each entity to better visualise and validate the data.

Email alerts for report generation, exception detection, and more are implemented. We implemented the exception bubbling mechanism to handle failure, which helps in rapid detection and data integrity in case of an exception.

Results and Success Criteria

With automation, the organisation's data flow became much more streamlined. Moreover, the information was now visible in real time. And a lot of resources, including time and valuable employee hours, were saved, which were otherwise wasted in the manual data processing.
