FileNet Development and Management, NYS OGS

Overview

The Office of General Services (OGS) was established in 1960 to provide essential support services for the operations of state government. Since then, OGS has grown significantly in scope and complexity. Today, we are a diversified organization providing a broad spectrum of services to state agencies, local governments, and the public.

Since its inception, OGS has developed expertise in centralizing critical support and service functions leading to a cost-effective government. OGS facilitates the work of New York State agencies, the Legislature, and Judiciary; support local governments, eligible nonprofits, school districts, and public authorities. The agency provides services through the development and management of efficient, cost-effective, and environmentally sustainable programs and activities. Delivery of critical services is performed in partnering with New York State businesses; significant economic opportunities are presented through their participation in state contracts administered by OGS.

Project Scope

The State of New York - Office of General Services (OGS) required a FileNet Support for maintaining the workflows, configuring and developing new ones; the design and development of Datacap and IBM Content Navigator in the P8 environment, in line with the business requirements and goals.


Solution

The objective of the project was to provide continuous FileNet support for providing enhancements and develops new workflows, aligned with the project scope and business goals.

V Group Inc. provided support in providing production support by utilizing the Process Administrator to triage work items in the Conductor Queue and various maintenance tasks. Also, worked with the staff in the ECM/Administrative and General Services (AGS) Cluster to ensure that the IBM P8 environment is operational in support of the OGS/BSC operations.

Primarily, we understood and captured the parameters, and the project was broken down into several components to ease the process of offering quality services. Agreeing to ECM requirements, we thoroughly implemented the enhancements within the related timeframe and budget. Also, engaged with the associated teams for servers, networks, databases, as well as vendors to respond, identify, and resolve, and technical problems in a thorough and rapid manner.

With a methodical approach, we developed and configured Datacap User Interfaces look up, task profiles, action libraries, custom actions, validations, verifications, and workflows; managed items in the work queue. We also did the administration of IBM Content Navigator, working under the direction of the ECM Manager unit within the AGS Cluster. Developed and implemented a plan for knowledge transfer to ECM/AGS Cluster, as and when it was needed.

Served as a liaison between Agency and solution’s contract and helped the client in the tuning of ETL processes and optimization of SQL queries, aligned with their business’ requirements reducing support overhead.
