Overview

The client wanted a solution to automate the process of downloading invoices from Fedex website and adding them to their internal database for record-keeping.

Moreover, they used 'Aderant' for their internal business operations and management. And wanted a smooth and secure integration with the platform.

Problem Statement and Challenges

The client is one of the reputed law firms in the United States of America. And being a law firm, it becomes of immense importance for them to keep track of paperwork, invoices, legal documents, and other related documentation within their secured internal database.

Moreover, since they operate in 'immigration law,' they need to keep the invoices from FedEx, their preferred partner for shipping documents to the client, so that they can add the amount as 'expense' in their balance sheet and calculate the charges for the client accurately.


Solution

We gathered a team of experts at our end, and after analysing, we settled on the idea of building a digital workforce using Robotic Process Automation.

The bot starts by checking the internal database at a scheduled time. To be more precise, the bot looks for new database entries that have no value inside the Processed On column. Finally, the bot lists all matching entries and moves to the next stage of the process.

Now, the bot automatically logs into the Fed Ex's portal and checks for the unprocessed invoices using 'invoice number' as a key. Furthermore, the bot automatically downloads each listed invoice as a PDF.

Finally, the bot returns to the internal database and embeds the invoices for each unprocessed invoice. And then, the bot enters the current date and time inside the ProcessedOn column for each manipulated row.

Results and Success Criteria

The client saved approximately 8 hours per week of employee time for every member associated with the manual handling of invoices. This helped them save time and money while making their internal business operations much more efficient than previously used methods.
