Client Background: 

The Office of Addiction Services and Supports (OASAS) oversees one of the nation’s largest Substance Use Disorder systems of care in New York State with more than 1,600 prevention, treatment and recovery programs serving over 680,000 individuals per year. This includes the direct operation of 12 Addiction Treatment Centers where our doctors, nurses, and clinical staff provide inpatient and residential services to approximately 8,000 individuals per year. OASAS is the single designated state agency responsible for the coordination of state-federal relations in the area of addiction services. Mission is to improve the lives of New Yorkers by leading a comprehensive system of addiction services for prevention, treatment, and recovery. The vision is a future where New York State is alcohol-safe and free from chemical dependence and compulsive gambling.

Project Name: Regional Office Data Initiative (RODI), OASAS Digitization Project, Data Warehouse Redesign

 

Project Description: The Regional Office Data Initiative Project was intended to increase the technological capabilities of Regional Office staff while in the field conducting site reviews of OASAS programs and improve overall efficiency of business process related to same. The OASAS Digitization Project wanted to utilize FileNet as a repository for paper documents that are scanned into the system, improving access to patient treatment information.

Solution Provided:

Our team played a key role in liaison to stakeholders and Subject Matter Experts to elicit, analyze, communicate, validate, and verify the requirements for complex changes to current business processes, policies, information systems.

V Group was supposed to create as-is and to-be business process flows to ensure that the implemented business process and supporting software meets the OASAS’s needs.  As a part of deliverables, we conducted requirements workshops and JAD sessions with OASAS subject matter experts as one of the many techniques to be used to elicit requirements.

In terms of documentation and tracking, we created business requirements documents, context diagrams, business requirements document (BRD), the system “as-is” and “to be” states, system specifications, use cases and workflow diagrams, report and screen mockups, swim lane diagrams, and prototypes. V Group team managed requirements through the life of the contract using a requirements management plan and traceability to ensure coverage between the source of each requirement and the test case(s).
